These Terms and Conditions (the "Terms") govern the provision of hypnotherapy services by Luke Wellor, trading as Luke Wellor Hypnotherapy, located in Essex, UK ("I," "me," "my," or "Luke Wellor Hypnotherapy") to you ("you" or "client"). By booking an appointment or engaging in hypnotherapy services with me, you agree to be bound by these Terms.

 

Please read these Terms carefully before booking any session.

 

1. About My Services

Luke Wellor Hypnotherapy provides professional hypnotherapy, hypnosis, and conversational hypnosis services exclusively online (remotely) via video conferencing platforms (e.g., Zoom). My therapies are not a replacement for medical treatment, psychological, or psychiatric services. I work with adults of any age and gender.

 

2. Client Commitment and Understanding

By proceeding with therapy, you confirm that:

• All information you provide to me is full, true, and correct.

• You are committed to undertaking a course of therapy as discussed.

• You understand that results can vary, and I cannot guarantee specific results or a cure.

• You are seeking hypnotherapy services as a complementary therapy and understand it is not a substitute for professional medical, psychological, or psychiatric care. If you are experiencing a medical or mental health condition, you are advised to consult with a qualified healthcare professional.

• You are free to terminate any or all sessions at any time, subject to the cancellation policy outlined below.

 

3. Session Details

• Session Duration:

  • An initial consultation can last up to 90 minutes.

  • Follow-on sessions last up to 60 minutes.

  • Stop smoking or vaping sessions last up to 120 minutes.

• Online Sessions: All sessions are conducted online (remotely), and I do not offer in-person sessions. For your optimal experience and safety during online sessions, you agree to:

  • Ensure you have a stable internet connection.

  • Be in a private, quiet space where you will not be interrupted.

  • Have a working camera that is switched on throughout the session, allowing me to see you and establish your well-being.

  • Provide an emergency contact number prior to the session.

  • Provide an alternate form of contact (e.g., another phone number) in case the primary connection is lost during a session.

• Contact Between Sessions: Contact between sessions is strictly limited to email and text for administrative matters directly related to your ongoing therapy. My phone may be switched off or go to voicemail outside of business hours. I am not an emergency service; in an emergency, please call the appropriate emergency services.

• Therapies Used: I exclusively use the following modalities:

  • Hypnosis/Hypnotherapy/Conversational Hypnosis

 

4. Fees and Payments

• Pricing: My current fees per session are listed on my website at www.lukewellortherapy.com. Any agreed discounts will be confirmed prior to your first appointment. You will be notified of any fee increases in advance.

• Payment Terms: Payment for each session is requested at least 24 hours ahead of the scheduled session to confirm and hold your appointment slot.

• Payment Methods: Once your appointment is confirmed, you will receive a secure payment request link from us via email. This link will provide you with options to pay securely by direct bank transfer (via Monzo's Easy Bank Transfer) or by debit or credit card.

5. Booking and Cancellation Policy

• Booking Appointments: Clients can arrange an appointment by emailing luke@lukewellortherapy.com or by completing the contact form on my website: www.lukewellortherapy.com.

• Cancellations: If you need to cancel or reschedule a session, you must provide at least 24 hours' notice prior to your scheduled appointment time.

• Late Cancellations/No-Shows: Cancellations made with less than 24 hours' notice will be charged in full (100% of the session cost), regardless of the reason for cancellation, as the slot cannot be re-allocated at short notice.

• Late Arrival: Please endeavour to be punctual for your online session. If you are running late, please try to notify me. I will always try to accommodate you within the remaining scheduled time. However, the session is likely to still finish at the time it was originally due to finish. If you arrive so late that no meaningful work can be done, or starting therapy would cause me to over-run for another client, the session may be deemed a late cancellation, and the full fee will be charged. If the session remains unattended after 15 minutes without contact from you, I will assume the appointment to be cancelled, and the full fee will be charged.

 

6. Confidentiality

Confidentiality is paramount to the therapeutic relationship and will be maintained in all but the most exceptional circumstances, as detailed below:

• General Confidentiality: Attendance and details of our private sessions will not appear on your NHS medical record.

• Limits to Confidentiality: I reserve the right to breach confidentiality and report to relevant authorities and/or seek urgent medical or protective attention on your behalf if I feel that you are at serious risk of harm to yourself or to others (e.g., imminent suicide risk, acts of violence, a medical emergency occurs during an attended session), or as a result of disclosed details of illegal activity, terrorism, trafficking, or safeguarding risks. Where at all reasonably possible, this would be discussed with you first, though this may not always be feasible in an immediate emergency. The courts can also order the disclosure of information in some extreme circumstances; in such cases, I would always seek legal advice.

• Clinical Supervision: I engage in regular clinical supervision to  ensure I maintain high professional standards and enhance my practice. During supervision, client information is discussed, but your identity will remain strictly anonymous, and no information that could potentially identify you will be disclosed.

• Notes and Records: Brief, anonymised notes are kept securely in compliance with the General Data Protection Regulation (GDPR) and Information Commissioner's Office (ICO) guidelines. These notes, along with any other physical or digital data related to your sessions, are stored securely and retained for 8 years after your last session, as required by my professional body (The National Hypnotherapy Society) and for insurance purposes. After this period, they are securely destroyed. You are welcome to request to view your notes.

• Third-Party Reports: You agree that reports requested by insurance companies, employers, courts, etc., will not be released without your explicit written permission. Preparation and provision of such reports will incur a fee in line with current ICO guidelines.

7. Professional Conduct & Quality Assurance

• Commitment to You: I commit to using my expertise to facilitate the changes that are mutually agreed upon to be in your best interest, in the shortest possible time.

• Fit to Practice: Measures are in place to ensure I remain fit to practice. This includes regular supervision, continuous professional development, and monitoring of my own well-being, which are requirements of my profession designed to ensure public safety. During any such quality assurance processes, personal client information remains anonymised.

• Professional Insurance: My therapeutic work and other professional activities are covered by comprehensive Professional Liability insurance with Holistic Insurance.

• Professional Membership: I am a Registrant Member of The National Hypnotherapy Society and comply with their ethical framework. This can be found at: https://nationalhypnotherapysociety.org/about-us/code-of-ethics.

 

8. Termination of Services by Therapist

I reserve the right to terminate therapy sessions and/or the therapeutic relationship under certain circumstances. These may include, but are not limited to:

• If I assess that the therapy is no longer beneficial to you or the therapeutic relationship has significantly broken down.

• If you consistently fail to comply with these Terms, including but not limited to, non-payment of fees or repeated late cancellations/no-shows.

• If your behaviour is abusive, threatening, or compromises my safety or the integrity of the therapeutic process.

• If I determine that your needs fall outside my scope of practice or expertise, in which case I will endeavour to provide appropriate referrals.

• If there are irreconcilable ethical conflicts. I will endeavour to discuss any decision to terminate services with you in advance, where appropriate and reasonably possible.

 

9. Complaints Procedure

I am a Registrant Member of The National Hypnotherapy Society and I comply with their ethical framework. If for any reason you wish to make a complaint, you can do this directly through The National Hypnotherapy Society's website at: https://nationalhypnotherapysociety.org/have-a-concern/complaints-process.

 

10. Third-Party Websites

My website may contain links to other websites that are not operated by me. If you click on a third-party link, you will be directed to that third party's site. I strongly advise you to review the Terms and Conditions and Privacy Policy of every site you visit. I have no control over and assume no responsibility for the content, terms, privacy policies, or practices of any third-party sites or services.

 

11. Changes to These Terms and Conditions

I may update these Terms and Conditions from time to time. I will notify you of any changes by posting the new Terms and Conditions on this page and updating the "Last Updated" date at the top of this document. You are advised to review these Terms periodically for any changes. Changes to these Terms are effective when they are posted on this page.
